The rule for dues reminders: polite, short, opt-out-aware — and never disclosing liability in front of third parties. A dues reminder is not enforcement or authority — it is a helpful signal for a busy guardian. And sending another student’s dues, or a name+class debt list, into a group is a privacy violation.

What to verify: polite opt-out-aware reminders; no public debt disclosure

Three editable samples (insert your institution and student data):

1. First reminder (smooth): “Assalamu alaikum. [Institution]. The [month] fee of ৳[X] for your child [name] remains unpaid as of today. Please pay at your convenience. Link: [URL]. If you have already paid, kindly disregard.”

2. Second reminder (clear, courteous): “Assalamu alaikum. [Institution]. [Name]’s fee of ৳[X] remains unpaid. Maintaining the office requires your cooperation. If there is a difficulty, please talk to the office — [number]. Link: [URL].”

3. Options message (instalment offer): “Assalamu alaikum. [Institution]. In difficult times we accept fees in instalments. [Name]’s dues are ৳[X] — talking to the office can adjust a schedule. [number].”

Never: threatening language, named dues in groups, “pay today or be removed” — these break relationships and privacy.

A usable sample: three editable messages

Message policy:

  1. Channel order: app push → SMS → phone — not all three every time.
  2. Cadence: the first reminder once a month; the second 7 days later.
  3. Opt-out-aware: the first reminder includes “to stop these messages, inform the office” — otherwise SMS goes out blindly.
  4. Names belong to the student, but never in group messages — individual numbers only.

Dues reminder messages: workflow steps and limitations

  1. Save templates in the software — hand-written messages differ every time.
  2. Refresh the templates every six months — words age.
  3. Limitation: an SMS can go to a wrong number — guardian-number verification is a year-start task.

Reminder messages: questions to ask before your demo

  • Can template-based messages be sent from the system?
  • Is delivery to individual numbers (not groups) certain?
  • Are opt-out guardians excluded automatically?

See the template-sending structure in the communication module; the dues-list source in fee management and the fee documentation.

Reminder messages FAQ

Is a phone call better than SMS?

For the risk class yes; for everyone’s first reminder, calls waste time.

Should the bank account be in the message?

Link-based payment is safer; if necessary, verify the number from the office first.

How often is right?

At most two a month — more feels like harassment and reduces importance.
