The month-end dues reconciliation rule: match bills, adjustments, collections and opening balances — in four separate buckets. Being satisfied by “total received” is the biggest mistake — totals can balance while individual students’ dues are wrong.

What to verify: bill, adjustment, completed payment and opening balance

The checklist in this order:

# Check Question If it does not match
1 Opening balance equals last month’s closing dues? reconcile last month’s close record
2 Bill generation billed for everyone this month? new admissions’ bills most commonly missed
3 Adjustments waivers/cancellations shown in bills? match against approval notes
4 Collections receipt total equals the collections list? reconcile receipts↔ledger
5 Dues list 1−(2−3−4) matches per student? per student, not in total

The last rule is the real one: do not stop at totals — match per-student balances. Two opposite errors can cancel out in totals.

A usable sample: a fictional reconciliation table

Student Opening dues Bill Waiver Collected Dues (calc) In record Match
012 0 500 0 500 0 0 ✓
031 300 500 100 400 300 300 ✓
044 500 500 0 300 700 600 ✗ collection understated 100

On a mismatch like the last row, first check: does the receipt number exist in the ledger — most mismatches live there.

Month-end dues reconciliation: workflow steps and limitations

  1. Reconcile on the month-closing day — later, corrections double in work.
  2. The mismatch list goes into the meeting report — “all fine” cannot be written without verification.
  3. Limitation: reconciliation catches errors, not causes — cause-hunting is yours; most causes are entry-time haste.

Reconciliation: questions to ask before your demo

  • Does the system show per-student balance calculation (bill−waiver−collection)?
  • Is the month-close report one click?
  • Does the system warn on mismatches?

Reconciliation FAQ

Can reconciliation be done on paper?

It can — but per-student hand calculation for 100 students is a day’s work, which is why most institutions skip it entirely — a bigger error.

When to reconcile the bank statement?

Right after month-close — ledger↔bank is a separate reconciliation; student balances matching does not mean the bank matches.

Must a waiver be approved before reconciliation?

Yes — an unapproved waiver appearing in reconciliation should be caught; that is a policy-violation signal.
