The monthly administration review exists to look at exceptions and record decisions — not to repeat daily work. The mark of a good review report: it answers four questions on one page — which of last month’s decisions are done, which are pending, and this month’s three numbers (attendance, dues, expenses).
What to verify: attendance, dues and unfinished-work exceptions
Three lists prepared before the meeting — each excluding everything “fine”:
- Attendance exceptions: students absent 3+ days this month, per department.
- Fee exceptions: whose dues are walking month over month, who pays partially.
- Work exceptions: which of last month’s decisions were not implemented.
What the meeting should NOT contain: reading everyone’s names aloud, reconciling every expense receipt, reporting on everything that already works. Those live in the written report, not in discussion.
A usable sample: meeting agenda and action log
Agenda (fixed structure, same every month):
| Item | Presenter | Time | Outcome field |
|---|---|---|---|
| 1. Status of last decisions | secretary | 10 min | done / ongoing / dropped |
| 2. Attendance exceptions | each department | 15 min | action + owner |
| 3. Dues and collection | accountant | 15 min | decision + deadline |
| 4. Expenses and approvals | muhtamim | 10 min | approved / rejected |
| 5. New decisions | chair | — | task + owner + deadline |
Action log rule: every decision carries three mandatory things — what must be done, who does it, when it ends. Missing any one, it is not a decision; it is discussion. The next meeting opens by reading this log — pending work stops surviving multiple months.
Monthly review meeting: workflow steps and limitations
- Pull the three lists from the system before the meeting — do not sit and calculate inside it.
- Write one decision per exception — “will be looked into” is not allowed.
- Keep the source of every number in the report — which page or screen it came from, so it can be verified later.
- Limitation: the system produces reports; humans take decisions. Even a long list does not shift that duty away from the meeting.
Monthly review: questions to ask before your demo
- Does the monthly attendance-exception report come per department?
- Can the dues list show how many months overdue each student is?
- Can reports be printed to PDF/Excel before the meeting?
Build the three lists with the attendance module, the fee management module and reporting features; the communication module helps plan the monthly guardian messaging.
Monthly review FAQ
Can we skip monthly meetings?
Exception review is needed at least monthly — otherwise dues and absences quietly become “normal”.
Who prepares the report?
The office pulls it from the system; reading the numbers is the presenter’s duty — if they do not understand it, the meeting stalls on questions.
Does the council need a separate summary?
Yes — keep a one-page summary (3 numbers + 5 decisions) separate, with details attached.
