Identify each physical book copy separately, even when several copies share a title. Link the copy to its borrower, issue date, return expectation and condition on return. A title alone cannot tell staff which copy is still outside the library.
Returning a book and settling a fine are separate events. Review any remaining amount under the institution’s own rules.
Identify the physical copy
Organize the title, author, category and necessary catalog details, then assign a copy or accession ID to each item. A lost copy should not cause every copy of that title to inherit the same status.
| Copy | Title | Borrower | Issue | Expected return | State |
|---|---|---|---|---|---|
| COPY-DEMO-01 | Sample title A | DEMO-014 | Example date | Institution-defined date | On loan |
| COPY-DEMO-02 | Sample title A | None | None | None | On shelf |
All records in this example are fictional. Do not publish actual borrower lists in a blog or general messaging group.
Check identity and availability when issuing
Confirm the borrower’s identity and select the actual copy. Check whether that copy already has an active loan. Explain the return expectation and applicable rules, save the record and retrieve it in a fresh authorized view.
When a student has several loans, match the returned physical copy to the correct record. A matching borrower name does not prove that every outstanding book has been returned.
Review the returned copy
Record the return point and condition, including any issue that needs attention. A copy sent for repair should not automatically be treated as ready for another loan. Distinguish the copy’s condition from the loan’s status.
Review fines independently
Fine rules vary. Confirm the institution’s current policy, authorization and adjustment process. Do not assume a product’s default value is an approved institutional rule.
The current iilmaa library workflow provides a separate worklist for unpaid fines after a return. Test that distinction when reviewing library management; it does not imply identical financial policies across institutions.
At the weekly review, inspect overdue copies, corrections still pending, repair or loss cases, unpaid fines and a small sample of physical shelf records. Give each exception an owner and next action.
Discuss the connection with student identity records and your wider school workflow.
Frequently asked questions
Can all copies of a title use one loan identity?
A shared catalog title is useful, but each physical copy needs a distinct identity for issue and return tracking.
Does returning a book settle its fine?
Not necessarily. Complete the separate review, payment or approved adjustment required by the institution.
Should staff mark all of a student’s books as returned together?
Match each physical copy to its active loan. A name match alone is not enough evidence for every item.
