Link each student’s permanent ID to the appropriate academic year, class, section and enrollment status. Preserve that identity when a name or roll number changes. Do not overwrite historical attendance or examination records simply because the current class list has changed.
A useful roster also identifies its session, review responsibility and outstanding changes. A list of names without that context can be misleading.
Separate identity, roll number and enrollment
| Field | Purpose | Common mistake |
|---|---|---|
| Student ID | Identifies the person | Creating another person each year |
| Academic year | Identifies the session relationship | Mixing past and current lists |
| Class/section | Selects the relevant group | Moving a student by name alone |
| Roll number | Orders students within a group | Treating it as permanent identity |
| Status | Explains current enrollment | Deleting history when someone leaves |
Institutions organize roll numbers differently. Write down your own rule before configuring the system, then check for conflicts against that rule rather than another institution’s convention.
Prepare the next session deliberately
Keep an approved snapshot or export of the previous session. Distinguish confirmed promotion, decisions still pending and students who have left. Do not promote a pending case by assumption.
After preparing the new relationships, check counts by class and section. A matching total is not sufficient: one extra student in one section and one missing student in another can cancel out. Check sample identities, previous results and current enrollment together.
Review section transfers
Suppose fictional student DEMO-027 changes from section A to section B. Record the effective point, reason and authorization. Check that the student does not unintentionally remain on two current lists. Keep the class and section attached to an earlier exam distinguishable from the new relationship.
Give teachers the list their work requires
An attendance roster needs enough information to identify the student. It does not need every guardian document or financial detail. Demonstrate which classes and branches a role may access.
Check that class and section names are consistent, current memberships are not duplicated and staff select the right session. Absence from a lesson is different from absence from the roster. Name the person responsible for correcting list problems.
Review student profiles and movement alongside the attendance register guide. Use the school workflow overview to identify related tasks.
Frequently asked questions
Does a changed roll number require a new student?
Usually the person’s permanent identity should remain, with the session-specific roll changed through the approved procedure. Verify the correction process and history in the demonstration.
Does removing someone from the current list delete history?
Check the system’s actual behavior. Changing current enrollment and deleting previous records are different actions, and their consequences should be demonstrated separately.
Is the total student count enough to verify a roster?
No. Check sample IDs, sessions and sections as well. Duplicates and missing students can exist within an apparently correct total.
Bring your class/section structure to an iilmaa demo to test the relationships.
