Check the student’s permanent identity, approved name spelling, relevant session, certificate type and authorization before preparing a certificate. Ask another responsible colleague to review the preview. For a reissue, retain its relationship to the previous record and the reason for the change.

A well-designed template does not establish that the information is correct. Verify the underlying record before approving the final layout.

Agree the source of each field

If an admission form, student profile and examination record use different spellings, follow the institution’s approved correction procedure. The operator should not choose a spelling by assumption.

Field Verification question
Student identity Is this the intended person, rather than someone with the same name?
Name Does it match the approved source?
Session/class Which relationship applies to this certificate?
Type Which prescribed institutional document is required?
Date Is this the actual authorized issue date?
Approval Has the responsible person authorized it?
Reissue Is the earlier record and reason linked?

This is a general office checklist. Follow the relevant current instructions for prescribed government or board documents.

Inspect a preview and a sample print

Check names, dates, identities and any applicable result. Review long names, Bengali character rendering, margins and page overflow. A mobile preview alone does not establish that the printed output fits the intended paper.

Use a fictional student for the first test. Give the reviewer the source record and output together. Do not expose an actual student’s information in public demonstrations or blog imagery.

Separate preparation from authorization

Define who prepares the document, who checks it and who authorizes delivery. Test whether an unauthorized role can change the template or underlying record and issue a final output.

Keep a reissue record

Do not conceal a replacement as an unrelated first issue. Retain the correction reason, previous record and approval. Follow the institution’s procedure for the status of an earlier copy.

Before delivery, confirm the student record, necessary fields, actual issue date, authorization and any reissue relationship. Discuss those steps using certificate management and student profiles. Use the school overview to identify related work.

Frequently asked questions

Does a correct template make a certificate ready to issue?

Information and authorization need separate checks. A valid layout can still contain the wrong identity or session.

Is replacing an output enough after correcting a name?

Follow the approved correction and reissue procedure. Keep the reason and relationship to the previously issued record.

Do we need real signatures or seals for the first demo?

Use fictional sample material initially. Define permission and control over real institutional assets separately for production use.

Bring a blank certificate example to an iilmaa demo to test the verification process.
