The rule for testing a Hifz tracking app demo: run a functional acceptance script in three layers — entry, correction, retrieval. Do not decide from brochures or a polished director presentation; have your own staff run these steps with their own hands — what they can perform is what passes.
What to verify: daily entry, correction and retrieval
The acceptance script with these steps:
| Step | Task | Pass criterion | Time |
|---|---|---|---|
| 1. Entry | sabaq/sabqi/manzil for 3 students | four separate fields, within 30 seconds | 5 min |
| 2. Offline | entry with network off, then on | no entries lost | 10 min |
| 3. Correction | wrong entry → fix it | history kept: who, when | 3 min |
| 4. Retrieval | “students on Juz 15, last cycled when” | one question, one answer | 2 min |
| 5. Report | weekly manzil-exception list | one click, printable | 3 min |
| 6. Guardian | progress in the guardian app | readable in plain language | 3 min |
Rule: every step performed by your own staff, with your own sample data. On a failed step, write what happened — “not possible” or “done in Excel”.
A usable sample: the functional acceptance script
Decide acceptance beforehand:
- Total passes ≥ 5 of 6 AND step 1 (entry) must pass — otherwise reject.
- Record the times — this estimates staff daily time cost.
- Give the same script to two vendors — comparison on the same measure.
Hifz app acceptance: workflow steps and limitations
- Demo environments run faster than production — pad time estimates by 25%.
- Also test bad input: a past date, a nonexistent Juz — does the system stop it?
- Add data export (Excel) as step 7 — the door out of the system.
- Limitation: a demo can show everything except sustained usage — that is measured only in the first month of real use (ask for a trial).
Hifz app: questions to ask before your demo
- Can the full department’s data be used during the trial?
- Can data be exported if we decide not to continue?
- Does the export include the correction history?
Every function in this script exists in the Hifz & Quran module; have staff read the Hifz tracking documentation before the demo. To start, see the free demo.
Hifz app FAQ
How long does running the script take?
~26 minutes budgeted — realistically 45. Reserve half a day.
How many passing steps are good?
5–6: strong. 4: see another vendor. ≤3: eliminate.
The demo specialist showed everything quickly?
Note “performed by the specialist” — then have your own staff repeat the same steps. The difference is the real information.
