The rule for daily Hifz records: fill four separate fields per student per day — sabaq (today’s new lesson), sabqi (recent-lesson re-listening), manzil (older-portion cycling), and a Tajweed note. Merging all four into one field makes it impossible to see, at month-end, which pillar is weak — and weakness that is not visible is never corrected.

What to verify: teacher-approved local terms and the daily lesson

Before building the record, write your department’s own rules:

Field What to write Example Common mistake
Sabaq Juz + Surah + verse range Juz 21, Baqarah 142–152 writing only “half a page”
Sabqi which lessons were re-heard last 3 days’ sabaq merged into sabaq
Manzil which Juz was cycled today Juz 15 no manzil column at all
Tajweed 1–5 score + mistake type 4 — two madd errors score without mistake type
Teacher who listened ustadh B no record of who heard it

Fix local terminology yourselves: “sabqi” means 2 days of re-listening at some institutions, 5 at others. Whatever it is, write the rule — a teacher change should not change the rule.

A usable sample: the empty daily Hifz register

Keep each day’s record in these columns (paper or software — columns are the same):

  1. Date + teacher.
  2. Student (permanent ID) — not the name, the ID.
  3. Sabaq: Juz/Surah/verses.
  4. Sabqi: which lessons were re-heard.
  5. Manzil: today’s cycled Juz.
  6. Tajweed score + mistake type.
  7. Tomorrow’s instruction — “repeat manzil Juz 15”, etc.

Build the habit with sabaq only for the first week; add the remaining columns one at a time — seven columns on day one guarantees nobody fills them.

The daily Hifz register: workflow steps and limitations

  1. Fix the entry time: immediately after class — evening reconstruction from memory is the source of errors.
  2. Weekly 30 minutes: check every student’s manzil cycle is actually running.
  3. After one month, test: “whose manzil has slipped 7 days” — does one question return the answer?
  4. Limitation: a record does not verify the listening itself — recitation quality stays with the ustadh; the record makes consistency visible.

Hifz register: questions to ask before your demo

  • Are sabaq, sabqi and manzil separate fields, or one note?
  • Can entries be taken offline and synced when the network returns?
  • Does “whose manzil slipped 7 days” come as a one-click report?

See the Hifz & Quran module and the Hifz tracking documentation for the digital version of this structure; madrasa operations covers the guardian connection.

Hifz register FAQ

How many fields per day are realistic?

A 30-second entry — four fields is enough. More fields means entries get skipped.

How do we bring old students’ history into a new system?

Import the current position (which Juz) — history builds itself from new entries.

Is the Tajweed score mandatory?

No — but without mistake types alongside the number, scores are recorded while corrections never happen.
