The rule for informing guardians of monthly Hifz progress: a one-page summary, plain language, verified numbers — pulled straight from the ustadh’s records. Trust is built by short, correct, regular communication; not by a big year-end meeting.

What to verify: a verified monthly summary and honest limits

The guardian summary carries these fields — in the guardian’s language, not the ustadh’s:

Field Example Why it matters
New memorization this month “1 page of Baqarah per week” shows pace
Revision running “old 5 Juz cycling regularly” prevents erosion
Tajweed “occasional madd errors — drill running” honesty builds trust
Attendance “2 days absent” shows the connection
Next month’s goal “finish Juz 21” makes guardians partners

Keep limits explicit: the summary is a summary of records — not a promise. “Completed this month” can be written; “will certainly finish next month” cannot.

A usable sample: the six-line summary template

Build the monthly summary in six lines (no names — the guardian knows their child):

  1. New memorization this month: __ pages/verses.
  2. Sabqi re-listening: __ times per week.
  3. Manzil: cycled Juz __, cycle __ days.
  4. Tajweed: average __/5, main mistake: __.
  5. Attendance: __ days.
  6. Next month’s goal: __.

Timing: the first week of the month — delay after month-end breaks the “regular” meaning. Channel: app push first, SMS as backup.

The parent summary: workflow steps and limitations

  1. The summary must come from the ustadh’s records — not rewritten by hand (a second writing is where errors are born).
  2. Five minutes per student — a hundred students is one day’s work.
  3. Send negative news too — an all-positive summary reads as unbelievable.
  4. Limitation: a summary summarizes records — if the records themselves are behind, no summary can be built. Daily records come first.

Parent summary: questions to ask before your demo

  • Is Hifz progress visible directly in the guardian portal?
  • Can the monthly summary be generated and sent from the system?
  • Can guardians reply — and does the ustadh see replies?

Verify the guardian view in the Hifz & Quran module; delivery channels in the communication module and the Hifz tracking documentation.

Parent summary FAQ

Should we send it weekly?

Monthly is sustainable — weekly summaries double the cost without doubling the benefit. Exceptions already go out via the weekly board.

Send in both languages?

In the guardian’s language — Bangla. Add a separate template for English-preferring guardians.

Include peer comparison in the summary?

No — compare a student with their own past. Peer comparison harms both the relationship and morale.
