The rule for teacher observation records: short, specific, with follow-up. Notes like “doing well” or “lacks focus” are not records — they are useless later. What works is a sentence with three parts: what was seen (specific), what was done, and when it will be checked again.

What to verify: brief observations, correction and follow-up

The structure of a good observation entry:

Part Bad example Good example
Observation “no focus” “stumbled 3 times on the last 5 verses of Juz 18”
Action “needs more attention” “ran a 2-day Baqarah-focus drill in manzil”
Follow-up none “will re-hear the same section on Friday”

Missing any one makes it a comment, not an entry. Comments accumulate; work does not happen — and when the teacher changes, a wall of comments is meaningless to the newcomer.

A usable sample: fictional observation examples

Two fictional entries showing the difference:

Student A (DEMO-031):

  • Seen: sabqi finished suspiciously fast three days in a row.
  • Action: had the student recite parts of it himself, pausing twice to ask.
  • Follow-up: same method tomorrow — if the gap does not show, increase the pace.

Student B (DEMO-044):

  • Seen: errors in an older Juz, not the new sabaq — matches the manzil exception.
  • Action: changed the manzil cycle 7→10 days, informed the guardian.
  • Follow-up: check the gap table in 7 days.

Note that both connect to real records (the manzil exception, the pace) — not abstract judgements.

Teacher observation notes: workflow steps and limitations

  1. Keep observations attached to the daily record — not in a separate diary.
  2. Two or three written observations per week are enough — not everyone every day.
  3. Passed follow-up dates go to the weekly board — notes written and forgotten are the most common loss.
  4. Limitation: observations are bounded by the teacher’s view — adding observers increases both coverage and error surface.

Observation notes: questions to ask before your demo

  • Do observation notes live in the same place as the sabaq entry?
  • Is there a reminder or filter by follow-up date?
  • Can notes be read after a teacher change?

See the Hifz & Quran module and the Hifz tracking documentation for attached observation records; madrasa operations for board verification.

Observation notes FAQ

How long should an observation be?

Two or three sentences. Length is not the value — specificity and a follow-up date are.

Doesn’t writing negatives wrong the student?

Specific observations are not wrongs — they record events, not verdicts. Verdicts like “no focus” are the wrong.

When should old observations be deleted?

Never — mark “resolved” when the follow-up completes. History answers bigger questions later.
