Data export & backups — your data is yours
When a school or madrasha moves its records into the cloud, one question should be settled on day one: who owns the data? In iilmaa the answer is simple — you do. The records you create belong to your institution, not to us. You can export them whenever you want, in formats your office already knows how to open (Excel/CSV and PDF), and iilmaa never holds your data hostage. This page explains exactly what you can export, how to do it, what happens if you stop using the service, and how your data is protected while you are with us.
What you can export
- Excel/CSV — students, attendance, fee collections and dues, results and more. Excel/CSV import-export is a built-in integration, and the same format works in reverse: import your existing student list from Excel when you start.
- PDF — documents meant to be printed or handed over: fee receipts, report cards in SSC/HSC board format, tabulation sheets, admit cards, transfer certificates and ID cards.
How to export students
- Go to the Students module and filter to what you need — a class, a section, a shift, or the whole institution.
- Choose the export option and select the fields to include .
- Download the Excel file to your computer or office PC.
The exported file keeps the same column structure as the import template, so a file you export can be edited and re-imported — useful when bulk-updating class promotions or guardian phone numbers.
How to export fees and dues
- Open the Fees module and choose the report you need: collection report for a date range, or the dues list for any class or the whole institution.
- Filter by month, fee type or payment method (cash, bKash, Nagad).
- Export to Excel for your accountant, or keep the PDF for file records.
The dues export is the one most offices run monthly: it shows every student with an outstanding balance, which is exactly the list you need before sending reminder messages. Month-end reconciliation also becomes simple — compare the collection export against your bKash merchant statement and bank passbook. More on the fee module itself: fee management features.
How to export attendance
- Open the Attendance module and select the class and date range (for example, one month).
- Choose the monthly register view, then export to Excel.
- The file shows each student against each day — the same register your office kept on paper, now in a spreadsheet.
Attendance exports are commonly needed for stipend paperwork, guardian meetings and government forms .
What happens when the service ends
You leave with your data — that is the policy. If the 14-day free trial ends without upgrading, you can export your data before stopping . The same principle applies after a paid subscription ends . There is no export fee and no lock-in . Plan limits and what each plan includes are listed on the pricing page.
Our practical advice: do not wait until the last day. Make exporting a habit.
A healthy export routine
- Monthly: dues report and collection report to Excel — one file per month, kept in a dated folder.
- Each term/semester: marks and results export after results are published.
- Yearly: a full student export at session change, before promotions are rolled over.
- Keep one copy on the office computer and one on a USB drive or another safe location. A backup that lives in only one place is not a backup.
How iilmaa protects your data
Exporting is your safety net; our job is to make sure you rarely need it.
- Encrypted regular backups. iilmaa keeps encrypted backups of your data .
- Encryption in transit. All traffic runs over TLS, so data between your browser or app and the servers is encrypted.
- Row-level security (RLS). Role-based access is enforced at the database level — a teacher’s account can only reach the rows their role allows, not the whole database.
- Financial integrity. On the Diamond plan, fee income posts to a double-entry ledger, so your financial records self-check rather than relying on one handwritten register.
